Set-up information

The exhibition halls are open for set-up of customer-built stands and fitting-out of system stands as of Sunday, 6 October 2013.
Access to the exhibition site during the below mentioned set-up times is possible for exhibitors and those in charge of set-up by means of the set-up & breakdown passes that are sent out with Service Set. Furthermore, exhibitor passes allow access to the exhibition site as from 8 October 2013.

Set-up times are:
Sunday, October 6 7.00 a.m. - 10.00 p.m.
Monday, October 7 7.00 a.m. - 10.00 p.m.
Tuesday, October 8 7.00 a.m. - 10.00 p.m.

 

Early access

Access to the exhibition site before 6 October 2013 (to set up a stand or deliver construction materials) is subject to a fee. Early entry is only possible for exhibitors with custom-designed stands of 40 sqm or more, who have obtained written authorisation from the Frankfurt Book Fair. An entry fee of 175 euros is charged for a single day, or 750 euros for up to three days. We can only process applications for early access if they arrive by 1 August 2013.

Dismantling information

What you should know about dismantling your fair presence.
The Frankfurt Book Fair ends at 5.30 p.m. on Sunday, 13 October 2013, and until that time, all stands must remain occupied. The breakdown of stands, packing up of exhibit items and the delivery of packing materials is not permitted before 5.30 p.m. and any contravention is subject to a penalty.

As soon as the fair is over and all visitors have left the exhibition site, the gangway carpets will be removed simultaneously from all halls – please keep the gangways clear for this! The roller gates will not be opened until this has been done, after which packing materials can be delivered to the stands. Within your stand itself, you can of course begin to pack up as from 5.30 p.m., but please make sure that you do not block the gangways in any way. Please make sure to hand over all rented equipment as well as boxes personally to the service contractor or forwarding agent that you employ for collection - we specifically draw your attention to the increased risk of theft during breakdown!

Dismantling times: Sunday, 13 October 2013 app. 6 p.m. until Monday, 14 October midnight (non-stop)

The exhibition halls are open throughout the entire night from Sunday to Monday as well as on Monday through to midnight. Exit from the exhibition site is possible through all gates at any time. Complete clearance and cleaning of all system stand modules as well as the breakdown of exhibitors’ own stand structures must be completed by midnight on Monday, 14 October at the latest. The bench cabinets in system stand modules should be cleared of all contents by Sunday evening, but certainly by the next day Monday morning at the latest – as from noon they will be emptied by cleaning staff and all remaining contents will be removed.

Extended dismantling is possible for custom-built stands exceeding 40 sqm in size, provided this has been officially requested and approved by the fair organisers.

Instructions for the delivery of items to the book fair.
Exhibit items can be delivered to the stand by a forwarding agent, courier service or the postal services during the set-up times as given above. Please arrange delivery times directly with the company you have contracted, i.e. for when you will be on your stand to take delivery of such items.

All deliveries to your stand must be clearly addressed as follows:

Please do not under any circumstances address your items to the office address of the Frankfurt Book Fair!

Forwarding agent

Official forwarding agent of the Frankfurt Book Fair is Panalpina Welttransport GmbH whose address you can find below. Panalpina sends the necessary documents on request. As it is in your own interest to ensure that transport goes smoothly, please ensure that you follow their instructions to the letter - if only to avoid problems with strict customs controls for trade fair goods. The international subsidiaries of Panalpina prepare group shipments to Frankfurt from several countries. If you are interested, please get in touch with the companies listed by Panalpina in their information packages.

Customs clearance of items sent through the post is complicated and we strongly advise against using postal services. If postal dispatch is unavoidable, please send a pro forma invoice to your forwarding agent stating the total number of parcels, so that the agent can clear your parcels at the postal customs office and store them until the Book Fair. However, this is only possible if they have been properly franked. This also applies to express rail consignments. Unfranked items will not be delivered by the freight forwarding agents. Urgent overseas parcels are best sent by air freight. Please note that there are special rates for books.

Traffic regulations

Please do not block the aisles during set-up and dismantling - packages or stand constructions in the aisles hinder the laying of gangway carpeting and the delivery of service companies.

Fire extinguishers and hydrants must not be blocked under any circumstances.
